Student Services and Engagement

Charter
The Student Services and Engagement Initiative Team (SSE) is an ongoing initiative team that makes recommendations to the IT Partners’ Council (ITPC). The ITPC appoints the members of the SSE in consultation with the IT Executive Committee (ITEC). Membership should include representatives from data owners for all currently active system modules, each School in the University, Admissions, Student Financial Aid, University Registrar, Student Financial Services, Dean of the College, Office of Personal and Career Development, Academic Advising, Institutional Research, and any department with an interface or integration with the student system, e.g. Residence Life and Housing, Campus Life, Advancement, Payroll. The IS Director of Enterprise Solutions and Cloud Platforms will serve as an ex-officio member of the team. The chair of the Committee on Information Technology (CIT) will serve as an ex-officio member of the team. The Office of the CIO will designate a staff liaison to support the work of the team. ITPC will appoint a Chair and a Vice Chair.
The Student Services and Engagement (SSE) initiative team will have three primary roles:
- Coordinate and recommend initiatives to improve the use of technology to support student enrollment, registration, financial aid, accounting and payment, advising, living, co-curricular services and activities;
- Ensure the student system provides the functionality necessary to remain in compliance with all state and federal regulatory requirements;
- Provide oversight and support of student system upgrades, enhancements, integrations, and interfaces.
The specific responsibilities of the SSE are to:
- Work with the Workday Initiative Team to coordinate efforts to plan the future of student systems with the implementation of the new financial and human resources system and to coordinate continued efforts to maintain Banner during the implementation;
- Recommend to ITPC projects to improve the use of existing student support technologies that require significant investment of time or resources;
- Collaborate with IS to identify gaps in the student systems portfolio required to meet the needs of one or more student support services and recommend priority and timing of deliverables to ITPC;
- At the request of ITPC, analyze the impact and feasibility of changes to particular technologies or the readiness of current systems and processes to support proposed changes to institutional strategies and policies;
- Work in coordination with the Mobile Technology Subcommittee team to propose initiatives to improve the integration of student services with mobile devices and to leverage these technologies to enhance the student experience;
- Work in coordination with the Data Management Initiative Team to achieve its goals related to development, implementation and enforcement of data standards and support the maintenance of consistent definitions for shared data elements in major systems important to reporting and analytics;
- Collaborate with IS to identify gaps in information availability for students, parents and faculty through reporting, self-service, and proxy access. Recommend projects to eliminate gaps and improve communications with and access for student system stakeholders.
- Maintain a student technology roadmap to sequence proposed initiatives to improve major student systems used by multiple offices and assist IS with prioritization of significant maintenance, upgrade and enhancement projects requested by the student services and engagement community;
- Recommend a long-term roadmap for major student systems including proposing timelines and strategies for their replacement.
SSE will work in consultation with ITPC to develop annual goals and areas to focus its work. Members of the SSE will meet bi-annually with ITPC to report the status of major initiatives it has undertaken and make recommendations for required new actions or investments.
