Faculty & Staff Computer Exchange
Eligible faculty and staff computers are on four-year replacement cycles. Exchanging your device in this cycle is important to keep up with changing security and compatibility requirements. It also ensures faculty and staff have a reliable and high performing computer to conduct their work. Information Systems will email faculty and staff due to exchange each spring to outline the exchange process.

Standard model computers are updated based on the models that are currently available from the manufacturer. Note that the models may be updated as Information Systems is continually evaluating newly released models. The models shown are for the 2025 Faculty & Staff Exchange.

Computer Exchange Overview
Curious about the process? Information Systems has made changes to improve our faculty and staff laptop refresh experience. We work with ITGs and other IT colleagues across campus to support exchanges together, and every year we refine and make it better. At a high level, here is what you can expect:
Before your exchange:
Selection and scheduling:
We’ll work with you (or in some cases, your department) to select your laptop. Then, we’ll invite you to schedule your exchange using a quick online form. You’ll be able to choose from a range of days over the summer months. We’ll confirm in an email and you will be able to add your appointment to your calendar.
Roughly a week prior to your exchange, we’ll send you an email reminder with an optional pre-exchange checklist to help you prepare.
The Day of:
Location
Computer exchange takes place at The Wakerspace, just across Lot Q from Scales. We work with Parking to ensure off-campus colleagues will not be penalized for parking in this area during their exchange.
Arrival and Check-in
You’ll bring your old laptop and Google 2-step device, and arrive at any time during your scheduled window (i.e. “morning” or “afternoon”). The door will be open! We will provide snacks and light music. 😀
Time commitment
A typical exchange takes about 30-45 minutes, but you may stay as long as you wish. We welcome you to ask all questions and seek any help you need (or not).
The setup process
When you arrive, you’ll choose a seat and we’ll bring you your new laptop. Once you log into your new computer, you’ll start a step-by-step online checklist, customized for your laptop. We’ll help you transfer files, set up software and printing, do tests of your camera and microphone and a range of other key tasks. Our support team is there to help, but we appreciate that there are different preferences we all have. While some prefer a lot of help, some do not. We understand this and while there are some core steps that cannot be skipped, we let you take the lead.
Please also note that we are child-friendly, and we understand if your child needs to tag along with you. We’ll gladly share snacks and coloring supplies with them.
