New way to request assistance with scheduling a large video conference

descriptive

To facilitate requests for hosting large video conferences, we’ve created an easy-to-use form to gather as much information about your event as possible, as early as possible. We ask for your cooperation in using the AskDeac Common Request Forms for requesting Consultation for a Fully Virtual Event or Consultation for a Hybrid Event to Schedule a Large Video Conference going forward.

As a reminder, large video conferences are generally defined as having over 50 participants,  including external participants, or requiring interactive participation or breakout rooms. Scheduling a large video conference is not generally necessary for online classes or departmental meetings. These meetings require a specialized license that can be obtained through IS, which is why submitting this request form as soon as you know the date of your event is important.

Once you submit the request, the information will immediately get routed to our team. From there, given the information provided in the request form, we will be able to quickly identify the right Multimedia Specialist to assist you with your event. They will reach out to you to schedule a quick consult if needed.

The request form also holds the links to a short video presentation on best practices that we encourage everyone scheduling or hosting large video conferences to review.

We look forward to continuing to support you and the rest of campus.
